Job Summary

  • Provide active administrative support to ensure smooth flow of business
  • Engage in business communication, drafting memos, business letters, presentations, and questionnaires etc.
  • Maintain and filling of confidential information in personnel files
  • Provide support in organizing webinars, sessions, guest lecture, workshop, and conference for the department
  • Ensure effective logistical arrangements for department faculty meetings and prepare minutes of meetings
  • Support faculties in their credentialing and re-credentialing process
  • Liaise with intra department and organization for travel arrangements, release of payments and other reimbursement matters
  • Raise online Peoplesoft requests for office stationary/supplies and coordinating with Warehouse and
  • Raise online Peoplesoft request for payment requests and timely submission of payment receipts and expenses claim reports to AKU Finance. 
  • Follow up with AKU Finance on pending financial issues.
  • Raise purchase requisition and coordinating approval process through the department head, Dean's office and Finance. Following up with Purchase department for the timely delivery of equipment
  • Ensure capital equipment are delivered to the respective faculty & staff on a timely manner. 
  • Keep a proper record of all capital equipment.
  • Ensure and monitor the validity of faculty PMDC license, faculty registration and keep record for department
  • Order supplies and kept inventory at optimal levels
  • Update record related to international accreditation agencies e.g., ISO and JCIA etc.
  • Coordinate equipment repairs and maintenance
  • Assist Manager to keep update personnel file for audit purpose
  • Perform any other task assigned by the department.

Required Skills
  • Bachelor’s degree, however Masters will be preferred 
  • Two to three years of related experience 
  • Proficiency in using Microsoft Office, SPSS and knowledge of related Office Packages
  • Good communication skills and command over written and spoken English
  • Excellent interpersonal and organizing skills
  • The ability to meet strict deadlines and work under pressure
  • The ability to independently correspond in writing with the faculty and staff.
