Job Summary

The School Administrative Coordinator plays a central role in supporting the daily operations of the school. This position ensures smooth administrative functioning by managing communication, records, scheduling, and providing critical support to school leadership, faculty, parents, and students. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced educational environment.

Role and Responsibilities:

  • Coordinate and oversee daily administrative operations of the school office.

  • Serve as a primary point of contact for parents, staff, and visitors.

  • Manage student records, attendance, and enrollment documentation in compliance with school policies and regulations.

  • Support scheduling and coordination of meetings, school events, and parent-teacher conferences.

  • Assist the principal and other administrators with calendar management, correspondence, and reports.

  • Maintain school databases, filing systems, and digital records.

  • Process incoming and outgoing communication (emails, phone calls, mail).

  • Coordinate supply inventory and procurement of office and classroom materials.

  • Help ensure compliance with school policies, health and safety regulations, and administrative protocols.

  • Liaise with district officials or education authorities as required.

  • Provide support during emergencies, drills, or school-wide initiatives.

  • Perform other duties as assigned to support the school's mission and smooth operation.

Required Skills

Skills and Qualification:

  • Minimum of 2 years of administrative or office management experience, preferably in an educational or school setting.

  • Experience working with school management systems (e.g., PowerSchool, Infinite Campus) is a plus.

  • Familiarity with educational policies, student record management, and compliance procedures is advantageous.


Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Comfortable using email platforms, digital calendars, and database software.

  • Ability to quickly learn new software or school-specific platforms.

  • Basic understanding of data entry, recordkeeping, and file organization (both physical and digital).


Administrative & Organizational Skills:

  • Strong attention to detail and accuracy in documentation and data entry.

  • Ability to manage multiple tasks and deadlines effectively.

  • Excellent organizational and time management skills.

  • Ability to prioritize tasks in a fast-paced environment.


Communication & Interpersonal Skills:

  • Excellent verbal and written communication skills.

  • Strong interpersonal skills to work professionally with staff, students, parents, and external visitors.

  • Ability to handle confidential or sensitive information with discretion.

  • Friendly and approachable with a customer-service mindset.


Other Requirements:

  • Ability to work independently and as part of a team.

  • Flexible and adaptable to changes in routines or assignments.

  • Must pass a background check and any other screening required by the school or district.

  • Familiarity with school safety protocols and emergency procedures is a plus.
