Job Summary

We are seeking a professional and friendly Receptionist to be the first point of contact for our organization. The ideal candidate will provide administrative support across the organization, ensure the front desk welcomes guests positively, and execute all administrative tasks to the highest quality standards.

Role and  Responsibilities:

  • Greet and welcome guests as they arrive at the office.

  • Answer, screen, and forward incoming phone calls.

  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).

  • Receive, sort, and distribute daily mail and deliveries.

  • Maintain a tidy and presentable reception area with all necessary stationery and materials.

  • Schedule appointments and manage calendars for staff when needed.

  • Provide basic and accurate information in person and via phone/email.

  • Assist with administrative tasks such as filing, photocopying, and data entry.

  • Order office supplies and keep inventory of stock.

  • Handle incoming and outgoing correspondence.

Required Skills

Skill and Qualification:

  • High school diploma or equivalent; additional certification in Office Management is a plus.

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Hands-on experience with office equipment (e.g., fax machines and printers).

  • Professional attitude and appearance.

  • Excellent written and verbal communication skills.

  • Multitasking and time-management skills, with the ability to prioritize tasks.

  • Customer service attitude.
