Position Summary
The Project Officer will be engaged for an initial period of 12 months to support the effective coordination, monitoring, and implementation of the Skills Training Programme.
The position will work closely with training providers, training institutions, trainees, and relevant stakeholders to ensure smooth programme delivery, proper documentation, timely financial disbursements, accurate record-keeping, and achievement of programme targets.
The role is field-intensive and requires strong coordination, monitoring, data management, financial record-keeping, and reporting skills. The Project Officer must be willing to work extended hours, travel extensively, and manage multiple training cohorts simultaneously.
Renewal or extension of the position will be subject to project scope, organizational requirements, and satisfactory performance.
Role and Responsibilities:
- Coordinate and oversee implementation of the Skills Training Programme.
- Support the formation, scheduling, and management of training cohorts.
- Organize and conduct orientation sessions for trainees, training providers, and relevant stakeholders.
- Maintain regular coordination and follow-up with training providers and training institutions.
- Monitor trainee attendance, participation, retention, and completion.
- Review and verify attendance records and supporting documentation submitted by training institutions.
- Coordinate and facilitate disbursement of funds to training institutions and eligible trainees in accordance with approved procedures.
- Conduct regular monitoring visits to training institutions to review attendance, training quality, facilities, compliance, and programme progress.
- Identify implementation gaps and follow up with training providers for corrective actions.
- Maintain complete and accurate programme, administrative, and financial records.
- Maintain records of payments, disbursements, attendance, trainee information, institutional information, and supporting documentation.
- Review, reconcile, and analyse programme and financial records.
- Maintain updated databases and trackers for cohorts, trainees, institutions, attendance, payments, and programme progress.
- Prepare periodic reports, summaries, analyses, and management information.
- Share programme data, reports, and relevant information with authorized stakeholders.
- Coordinate with internal teams and external partners to address operational and implementation issues.
- Support audits, monitoring exercises, evaluations, verifications, and other programme reviews.
- Perform other programme-related duties assigned by management.
Required Skills
Qualification & Experience:
- Bachelor’s degree in Business Administration, Management, Social Sciences, Economics, Education, Finance, Project Management, or a related field.
- Relevant experience in project coordination, vocational training, skills development, education programmes, development projects, or similar assignments is preferred.
- Experience working with training institutions, service providers, beneficiaries, or field-based programmes will be an advantage.
- Experience in financial record-keeping, programme documentation, data management, and reporting is desirable.

- Working Requirements
The selected candidate must be willing and able to:
Work six days per week.
Work extended hours when required by programme activities and deadlines.
Undertake extensive travel to training institutions and programme locations.
Conduct frequent field visits and maintain regular engagement with training providers and trainees.
Work in a target-driven and deadline-oriented environment.
Reporting:
The Project Officer will report to the Head of Programme or designated member and will coordinate closely with programme, finance, monitoring, and operations teams.
