Role and Responsibilities
Case Management, Coordination and Reporting - MIS
- Manage matrimonial, commercial, and family cases with accurate data entry, documentation, and monthly reporting.
- Ensure timely acquisition of credible data of cases from mediators
- Maintain CaseTrace records of the panel.
- Accurately compile data for submission to Regional Office for analysis and consolidation.
- Promptly respond to any relevant enquiries from National and Regional Offices.
Documentation and Drafting
- Prepare and draft official legal and administrative documents such as divorce documents, agreements, and related correspondence.
- Ensure all documents are properly formatted, reviewed, signed, and securely filed.
- Maintain organized filing systems for easy retrieval and confidentiality
Finance, Accounts and Audits
- Ensure timely reporting of monthly and other periodic accounts to Regional Office
- Provide copies of supporting vouchers and payments evidences for verification.
- Keep appropriate reports of grants disbursed to and utilized at the panel
- Facilitate in fulfilling audit related requirements from Grants and Review Board.
Regional Follow-ups and Coordination
- Conduct monthly follow-ups with portfolios and any committees regarding accounts, grant confirmations, and domestic travel reports.
- Maintain effective coordination and communication between the Head Office and Region.
- Ensure timely submission of required reports and documentation.
Communication and Inquiry Handling
- Attend and respond to phone calls and email correspondence from regional office.
- Provide accurate and timely responses to queries.
- Resolve issues proficiently through effective communication and follow-up.
Office Equipment and Maintenance
- Oversee maintenance and repair of office equipment and facilities, including AC servicing, office renovation, and internal issue resolution.
- Coordinate with vendors and support staff to maintain a safe, clean, and efficient workplace environment.
Travel and Logistics Coordination
- Arrange transportation, accommodation, and logistics for members during official events.
- Coordinate event schedules and ensure all arrangements are executed promptly.
Meeting and Event Coordination
- Handle technical and logistical arrangements to ensure meetings run smoothly.
- Organize and facilitate RCAB Board meetings and other official meetings.
- Arrange travel, accommodation, refreshments, and meeting materials.
Required Skills
Skills and Qualification:
- Minimum Bachelors Degree
- At least 2 year of experience
- Miximum 35
Administrative Support
- Manage cheque emails, financial documentation, and related administrative communications.
- Stamp and verify vouchers and expense records weekly to support accounting accuracy.
- Manage internal and external administrative tasks including procurement and logistics support.
Training and Event Material Preparation
- Support Regional Office in arranging and managing materials, supplies, and logistics for internal training programs such as MCTP and CPD trainings.
- Ensure all resources are prepared and distributed in advance of training sessions.
External Office Tasks
- Coordinate with vendors immediately to resolve any external issues.
- Visit banks for billing and related official tasks.
- Handle courier services through TCS and OCS outlets.
- Manage photocopying and urgent document processing tasks.
Purchasing and Procurement
- Purchase stationery, photocopy papers, kitchen supplies, and other office essentials.
- Obtain quotations for brochures, banners, and other required materials.
- Coordinate purchases according to office requirements and procedures.
HR-Related Tasks
- Facilitate in HR-related tasks for LCAB and RCAB
Support employee documentation, coordination, and administrative HR functions.
