Background & Project Context

IFAR standardises and collaborates accounting principles and systems across global jurisdictions. The initiative is to consolidate and maintain all jurisdictions into a single system of accounting and a unified platform — QuickBooks Desktop Enterprise 24.0 (QBE 24.0). The project encompasses:

  • Standardisation of the Chart of Accounts (COA) across all jurisdictions
  • Implementation and maintenance of a four-dimensional tracking framework: nature of expenditure, institution/programme, location, and funding source
  • Migration assistance and management of historical data
  • Alignment with global budget templates covering various institution types
  • Compliance with both grant reporting requirements and local statutory obligations
  • Develop, coordinate, and deliver training material for the project and updates over time

Objectives of the Role

The Global Financial Systems Coordinator will serve as a global enabler and coordinator — supporting each jurisdiction with their implementation needs, driving adoption, and maintaining system integrity post-go-live. Specific objectives include:

  • Coordinate the end-to-end financial systems migration across jurisdictions, providing hands-on support tailored to each jurisdiction's current system (Tally, Xero, Sage, Excel, QuickBooks variants)
  • Ensure COA, CLASS codes, and tracking dimensions are correctly configured per the global standardised structure in each jurisdiction
  • Maintain compliance with local statutory requirements within the standardised framework
  • Serve as the primary point of accountability for adoption, post-go-live accuracy, and audit readiness across all jurisdictions
  • Maintain and update systems, processes and ongoing support as needed.

Scope of Work & Key Responsibilities

Project Implementation & Coordination

  • Review and validate the globally standardised structure for each jurisdiction; document configuration decisions, COA deviations, and statutory mapping
  • Drive adoption through active engagement, troubleshooting, and hands-on assistance with each jurisdiction
  • Assist with go-live readiness and coordinate data migration — from beginning balances through multi-quarter transaction imports where required

Ongoing Support & Financial Management (Post-Go-Live)

  • Prepare and assist with templates for monthly, quarterly, and annual financial reports for internal management and donor/grant reporting
  • Manage special reports and requests; assist with troubleshooting and smooth system operations
  • Liaise with auditors for annual statutory audits and prepare any updates to the system as needed
  • Maintain grant-specific financial reporting for restricted and designated funds
  • Manage the process for fixed asset registers and depreciation schedules within QBE 24.0
  • Assist with jurisdiction-specific supplementary reporting and maintain adoption with high satisfaction and efficiency 
  • Special projects as assigned

 

Required Skills

 

Qualifications & Experience

Education & Credentials

  • Bachelor's degree in Accounting, Finance, or a related discipline — required
  • Professional accounting qualification (CA, ACCA, ICMAP, CPA, or equivalent) strongly preferred; near-completion considered for exceptional candidates

Experience

  • Minimum 3 years of professional accounting experience, ideally in a multi-entity, non-profit / NGO, or civil society environment
  • Demonstrable experience with accounting systems and/or system implementations
  • Hands-on experience with QuickBooks (any version) — QBE Desktop experience is a significant advantage
  • Experience managing grant-funded accounts and producing donor-compliant financial reports
  • Experience working with multi-institution or multi-programme financial structures; experience with training is an asset

Technical & Personal Skills

  • QuickBooks Desktop Enterprise (QBE) — proficiency/expertise highly desirable
  • Microsoft Excel — advanced proficiency required (pivot tables, VLOOKUP/XLOOKUP, data validation, COA mapping)
  • Understanding of multi-dimensional accounting: account-level coding plus class/department/project tracking
  • Exceptional attention to detail, strong project management instincts, and clear communication across technical and non-technical stakeholders
  • Collaborative, discreet, and self-directed — comfortable working across a globally distributed team with minimal day-to-day supervision
