Job Summary

Role Summary:

The Finance Officer will be responsible for managing financial transactions, maintaining accurate records, and ensuring compliance with accounting standards and regulations. This role includes overseeing financial reporting, budgeting, and account reconciliations to support efficient financial management. The Finance Officer plays a key role in ensuring accuracy, transparency, and efficiency in financial operations.

Responsibilities:

  1. Preparation for Financial Statements
  • Assist in the preparation of monthly, quarterly, and annual financial statements.
  • Ensure financial reports comply with accounting and internal policies.
  • Collaborate with auditors by providing necessary reports and explanations.

2. Preparation of Bank Reconciliation

  • Reconcile bank statements with financial records to ensure all transactions are recorded accurately.
  • Maintain proper documentation and records of all reconciliations for audit purposes.
  • Ensure all payments and receipts are reflected correctly in the system.

3. Inventory Management

  • Monitor and record inventory transactions to ensure accurate stock valuation.
  • Work closely with the procurement and operations teams to maintain optimal inventory levels.
  • Ensure compliance with financial controls in stock handling, procurement, and storage.

4. Day-to-Day Cash and Bank Management

  • Oversee cash flow management, ensuring sufficient funds for daily operations.
  • Process cash deposits, withdrawals, and fund transfers while maintaining detailed transaction records.
  • Maintain petty cash and ensure it is reconciled periodically.

5. Budgeting and Forecasting Abilities

  • Assist in preparing annual budgets, ensuring alignment with business goals.
  • Track actual expenses against the budget and provide variance analysis.
  • Support management in forecasting revenues, expenses, and financial performance.

6. Payment and Vendor Management

  • Process vendor payments, staff reimbursements, and operational expenses accurately and on time.
  • Maintain records of all payments and ensure proper authorization before disbursement.
  • Ensure vendor invoices comply with company policies and resolve payment disputes when necessary.

7. Compliance (Taxation)

  • Ensure compliance with tax laws and regulations, including VAT, GST, income tax, and withholding tax.
  • Prepare and file tax returns accurately and on time to avoid penalties.
  • Keep up to date with changes in tax regulations and advise management accordingly.

8. Good Command of MS Excel (Advanced Level)

  • Utilize advanced Excel functions for data analysis and reporting.
  • Create automated financial reports for better decision-making.
  • Ensure efficient data organization and management for better financial insights.

Required Skills

Skills and Qualification:

  • Education: 16 of Year of Education with major in Finance & Accounting or equivalent professional qualification
  • At least 3-5 years of relevant experience.
  • demonstrating a comprehensive understanding of financial processes, reporting, and analysis.
  • Advanced expertise in MS Excel is essential and having experience in working with donor agencies will be an added advantage.
  • Familiarity with accounting software is an added advantage
