Job Summary

The Drayage Dispatcher is responsible for coordinating the movement of import and export containers between ports/rail terminals and customer facilities. This role focuses on scheduling drivers, managing daily container operations, communicating with customers, and ensuring timely and efficient delivery of all drayage loads.

Role and  Responsibilities:
Dispatch & Daily Operations

  • Assign and dispatch loads to company drivers and/or owner-operators.
  • Plan daily schedules for container pick-ups, deliveries, and empty returns.
  • Track container availability, grounding status, customs holds, and storage deadlines.
  • Handle rail/port appointments, gate-in/gate-out updates, and terminal communication.
  • Monitor driver progress and provide real-time instructions and support.
  • Resolve delays, last-minute changes, or operational issues.
  • Communication
  • Serve as the main contact for drivers regarding load details, addresses, container numbers, and instructions.
  • Provide customers with timely updates, ETAs, and delivery confirmations.
  • Communicate with terminals, warehouses, carriers, and brokers as needed.
  • Documentation & Compliance
  • Prepare and process dispatch paperwork: BOLs, PODs, EIRs, delivery slips, and load instructions.
  • Ensure accurate entry of container numbers, seal numbers, and trip details.
  • Maintain compliance with company standards, safety rules, and drayage regulations.
  • Track and record accessorials (wait time, chassis, storage, demurrage charges).
  • System & Data Management
  • Update load status in the dispatch/TMS system throughout the day.
  • Maintain accurate records for billing, invoicing, and audits.
  • Review and confirm final PODs and delivery-related documents.

Required Skills

Skills and Qualification:

Operational & Industry Skills

  • Minimum Bachelors degree

  • Knowledge of drayage, port/rail operations, and intermodal logistics

  • Experience with dispatching, driver scheduling, and route planning

  • Understanding of customs holds, storage, demurrage, and terminal procedures

Technical Skills

  • Proficiency with dispatch/TMS systems

  • Ability to prepare and manage BOLs, PODs, EIRs, and delivery documents

  • Accurate data entry and record management

Communication Skills

  • Clear communication with drivers, customers, terminals, and brokers

  • Ability to provide timely updates, ETAs, and issue resolutions

Problem-Solving & Time Management

  • Ability to handle delays, last-minute changes, and operational issues

  • Strong multitasking, prioritization, and decision-making skills

Customer Service & Attention to Detail

  • Professional customer interaction

  • High accuracy with container numbers, trip details, and billing-related info
