Role Overview

As the Chief of Staff / Personal Assistant to the CEO, you will work in close partnership with the CEO, ensuring his day-to-day activities run smoothly. You will be the central point of coordination, enabling the CEO to focus on high-level strategic initiatives while you manage the details, communications, and operational rhythm of his work life.

This is a role for someone who thrives in high-performance environments, handles confidential matters with absolute discretion, and can operate with autonomy, integrity, and emotional intelligence

Role and  Responsibilities:

  • Executive Calendar Management: Own the CEO’s daily schedule. Plan, coordinate, and manage meetings, appointments, travel, and events to ensure optimal use of time.
  • Communication Liaison: Serve as the first point of contact for the CEO—screening calls, emails, and requests while ensuring timely and thoughtful follow-up.
  • Meeting Preparation & Follow-Up: Draft agendas, take notes, and track action items. Ensure follow-ups are completed and that the CEO is fully prepared for each engagement.
  • Operational Support: Assist with personal errands, document management, email handling, and task prioritization.
  • Travel & Logistics: Coordinate all travel arrangements—flights, hotels, ground transportation, and itineraries, both domestically and internationally.
  • Confidentiality & Discretion: Manage sensitive information with the highest level of professionalism and discretion.

·  Project Assistance: Support the CEO with ongoing internal initiatives, team coordination, and communications across departments.

·  Delegation & Gatekeeping: Act as a strategic gatekeeper, ensuring only high-priority matters reach the CEO’s attention and delegating tasks where appropriate.

·  Time Optimization: Proactively find ways to reduce distractions, streamline processes, and enhance the CEO’s productivity.

 

Required Skills

Skills and Qualification:

  • Minimum Bachelor's degree, Master’s in Business, Management, or Communications is preferred.
  • 3+ years of experience supporting C-level executives
  • Exceptional written and verbal communication skills (English & Urdu)
  • High emotional intelligence, discretion, and professionalism
  • Strong organizational and time-management skills
  • Ability to handle multiple priorities and remain composed under pressure
  • Tech-savvy with experience using productivity tools (Google Workspace, Slack, Zoom, Calendly, etc.)
  • A proactive mindset with a service-oriented attitude
