Job Summary

The Assistant Manager Administration & Procurement will be responsible for supporting the administration and procurement functions of the institution. The role includes long-term strategic planning, overseeing daily operations, facilities and infrastructure maintenance, asset and inventory management, security management, and managing the procurement and supply of goods and services across all schools and departments. Market visitation and market surveys will be a key responsibility.

Role and Responsibilities:

  • Assist in developing and improving administrative systems, policies, and procedures; devise ways to streamline processes across the institution.
  • Support the oversight of facilities, services, maintenance, and renovation of buildings, as well as the maintenance of movable and fixed assets.
  • Conduct market research and surveys for the procurement of goods and supplies for different schools.
  • Visit market, procure and purchase items as per need to resolve ground level issues.
  • Ensure compliance with relevant policies and procedures.
  • Take self-initiative to enhance workplace efficiency and support departments/schools in program administration and event management.
  • Assess staff performance and succession planning of admin staff collaboration with the HR.
  • Prepare and manage administrative budgets effectively.
  • Manage the institution’s sourcing capabilities and end-to-end supply chain.
  • Strategize and negotiate with suppliers/vendors to secure cost-effective deals and reduce procurement expenses.
  • Maintaining corporate relationships and negotiating contracts and agreements with vendors.
  • Schools and academy visits to resolve onsite queries and proposing solutions.
  • Maintaining overall petty cash for reimbursement.
  • Provide coaching and guidance to ensure maximum efficiency.
  • Assets management and monitor inventory of office supplies, stationaries and others items.  
  • Stay updated on organizational developments and implement necessary administrative adjustments.
  • Any other tasks assigned by the supervisor.

Required Skills

Skills and Qualification:

  • Minimum 16 years of education in Business Administration, Supply Chain, or a related field.
  • At least 4-5 years of relevant experience in admin and procurement roles, preferably in an educational setup.
  • Strong organizational, negotiation, and communication skills; proficient in MS Office.
