Roles & Responsibilities

  • Compliance Assurance Support: Collaborate with the Facility Manager to ensure strict adherence to established standards within service agreements, ensuring optimal performance and regulatory compliance.
  • Budgeting and Resource Management Assistance: Aid in the facilitation of budgeting processes and resource conservation initiatives under the guidance of the Facility Manager, contributing to cost-effective operations.
  • Policy Coordination and Communication: Effectively coordinate and disseminate ICD policies and procedures among ICD staff and contracted personnel, ensuring alignment with organizational objectives.
  • Internal Coordination: Liaise with internal stakeholders such as department heads, maintenance teams, and administrative personnel to ensure seamless communication and collaboration regarding facility management activities.
  • Contractor and Vendor Management: Interface with external contractors, service providers, and vendors to coordinate work orders, negotiate contracts, and oversee service delivery, ensuring compliance with established standards and timelines.
  • Attendance Schedule Oversight: Develop and monitor comprehensive attendance schedules for ICD staff on a daily, weekly, and monthly basis, optimizing workforce efficiency and productivity.
  • Specialized Procurement Assistance: Assist in the procurement of specialized maintenance resources for ICD and Dubai Park, facilitating seamless day-to-day operations.
  • Operational Support: Provide support to the Facility Manager in overseeing the overall operation of the building, encompassing housekeeping, landscape management, and ancillary services.
  • Maintenance Schedule Formulation and Monitoring: Aid in the preparation and adherence to maintenance schedules for ICD and Dubai Park, including MEP systems, automation, interior/exterior finishes, and landscaping.
  • Deferred Maintenance Identification and Budgeting: Assist in identifying deferred maintenance requirements and budgeting for necessary repairs and upgrades, ensuring long-term facility integrity.
  • Building Inspection and Repair Planning: Contribute to building inspections to identify damages and formulate repair maintenance plans, ensuring timely and effective resolution of issues.
  • Civil Works and Maintenance Management: Oversee and monitor civil works, painting, wooden works, marble repair/polishing, and related activities to uphold aesthetic and structural integrity standards.
  • Inventory Management Assistance: Effectively manage and track inventory and stock levels for ICD, facilitating smooth operations and minimizing disruptions.
  • Innovation and Sustainability Initiatives: Research and propose innovative construction technologies with a focus on sustainability and energy efficiency, contributing to environmental stewardship goals.
  • Annual Building Structure Assessment: Conduct annual assessments of the building structure, reporting findings to facilitate proactive maintenance and adherence to safety standards.
  • Documentary Records Maintenance: Maintain comprehensive documentary records in accordance with established guidelines, ensuring secure storage and easy retrievability for documents such as HSE certificates and third-party contracts.
  • Ad Hoc Responsibilities: Undertake any additional responsibilities as assigned by the Facility Manager, ensuring seamless support and operational continuity

Required Skills

Qualifications:
Bachelor of Civil Engineering. MBA preferred.

Preferable experience, knowledge & skills:

  • A minimum of 5+ years of hands-on experience in civil engineering, showcasing proficiency in managing diverse construction projects and associated challenges.
  • Previous employment within a construction company or as a construction project manager is highly desirable, demonstrating a nuanced understanding of industry dynamics and best practices.
  • Possess a strong comprehension of subcontractor operations, vendor relations, and adept contract negotiation skills, essential for orchestrating seamless project execution and cost management.
  • Demonstrated proficiency in procurement practices, including a sound ability for successful negotiations, strategic sourcing, and cost-effective procurement methodologies, ensuring optimal resource utilization.
  • Exhibit fluency in written and verbal English, with additional proficiency in Urdu and Arabic considered advantageous, facilitating effective communication with diverse stakeholders and enhancing team collaboration.
  • Proficient in the interpretation and comprehension of civil drawings, enabling accurate assessment of project requirements and effective coordination with design teams and contractors.
  • Extensive experience utilizing engineering software tools for design and analysis purposes, coupled with advanced proficiency in Microsoft Office applications, empowering efficient project management and data analysis tasks.
