Job Summary

Role and Responsibilities:

  • Plan and schedule Board meetings and any other meetings required.
  • Prepare and distribute Board meeting agendas and supporting documents.
  • Attend Board meetings, take notes, prepare accurate minutes of the meetings, circulate the minutes and related information to the Chair and the Board members.
  • Ensure that requests for information from the meeting related documents are available expeditiously and accurately and will be responsible for maintaining a comprehensive computer-based index.
  • Make travel arrangements and reservations for the Board members and staff.
  • Manage phone calls٫ schedule appointments and organize calendars.
  • Review and organize regular correspondence٫ like invitations and informative material.
  • Prepare reports and presentations as and when required.
  • Handle confidential documents ensuring they remain secure
  • Meet guests, visitors and provide them required support.
  • Review and optimize office policies and procedures٫ particularly documentation and filing system.
  • Provide support to the Project Manager and assist him for the on-going projects and any responsibilities assigned by him.
  • Collaborate with colleagues and clients in a fast-paced environment and ensure that the day-to-day office operations run smoothly.
  • Perform various office duties like ordering office supplies and inventory. Negotiate with the vendors to ensure the most cost-effective orders.
  • Any other responsibilities assigned.

Required Skills

Skills and Qualification:

  • Must hold at least a Bachelor’s Degree in relevant field. Master's degree will be preferred.
  • At least 2 - 3 years of professional experience.
  • Having the ability to manage work priorities.
  • Adjustable in a fast-changing environment.
  • Proactive enough to solve problems and make decisions.
  • Professional at written and verbal communication.
  • Strong organizational and time-management skills.
  • Significant experience with office management and daily operations. 
  • Excellent practical experience with MS Office.
  • Excellent knowledge of office equipment.
  • Should be mindful of Integrity and confidentiality.
