Job Summary

The Admin Officer will be responsible to:

Role and Responsibilities:

Repair, Maintenance & Facility Management

  • Coordinate and supervise all repair and maintenance activities for buildings, equipment, and facilities.
  • Ensure timely repair and upkeep of assets and maintain preventive maintenance schedules.
  • Oversee housekeeping operations to maintain cleanliness, hygiene, and safety standards.
  • Liaise with contractors and service providers to ensure quality and timely completion of work.

Generator & Vehicle Management

  • Supervise the regular servicing, maintenance, and recordkeeping of generators and office vehicles.
  • Maintain service logs, fuel usage, and maintenance histories for both assets.
  • Ensure timely repairs, renewal of vehicle registration, insurance, and fitness certificates.

Asset & Insurance Management

  • Oversee regional and central asset management functions, ensuring proper tagging and recordkeeping.
  • Ensure annual renewal of insurance coverage for all assets, vehicles, and buildings.
  • Maintain insurance records and process claims for assets, vehicles, or property damage.

Procurement, Delivery & Billing

  • Manage the purchase of administrative supplies and transport services.
  • Ensure timely delivery and receipt of materials, verify deliveries, and maintain documentation.
  • Process related bills and coordinate with the accounts department for timely payments.

Disbursement, Coordination & Compliance

  • Oversee the disbursement process of purchased materials for the South region and other AKESP regions, ensuring timely submission of financial documents to the Finance Department.
  • Ensure accuracy, proper documentation, and compliance with institutional financial procedures and organizational policies.
  • Act as a liaison between departments for administrative, facility, and logistical matters.
  • Maintain systematic filing, records, and reporting for all administrative and financial functions.

Event & Administrative Staff Management

  • Plan and execute office events, meetings, and official functions efficiently.
  • Supervise the receptionist and other administrative staff; oversee front-desk operations.
  • Ensure professional handling of visitors and calls, monitor staff performance, attendance, and discipline.

Required Skills

Skills and Qualification:

  • The candidate with a graduation degree and having 1 to 2 years of relevant experience will be preferred. However, candidates with higher qualifications and experience will be given preference.
  • The ideal candidate should have strong supervision, administrative, planning, and communication skills, a strong command of MS. Office, and be able to work productively under pressure.
