Job Summary:

The individual will take control over the day-to-day general administration of the head office and its administrative systems and procedures as directed by the HOD. Work will be performed as per the given deadlines and within the specified time frame. The individual will handle immediate and urgent tasks with a high sense of responsibility and prioritize them accordingly. They will coordinate with different departments to resolve admin-related queries in a timely manner. The individual will oversee all IYS Schools and academies. They will assist the Head of Admin and report directly to them. Overall administrative tasks as assigned, along with any additional duties communicated by the HOD, will be part of the role and must be carried out accordingly.

Roles  & Responsibilities

  • Handle consumable and printed stationery.

  • Distribution of monthly requested items and other material accordingly.
  • Receive and dispatch correspondence/ documents.
  • Looking after repair & maintenance/ upkeep of office building and equipment.
  • Allocate duties to peon and domestics, upkeep & cleanliness of Head office.
  • Visit and rounds of schools and academies.
  • Keeping office files and important documents with confidentiality.
  • Market visits for purchase and procurement.
  • Verification of utility/ party’s bill for flaws (overall billing) and visit relevant office for correction (K.E, SSGC, KSWB, PTCL, etc.) then forwarding it to HOD for timely payment.
  • Responsible for providing transportation services and maintenance of office vehicle.
  • Look after laundry services and resolving relevant issues of the academy.
  • Inventory management and conduct physical verification of stocks as requested.
  • Maintaining the petty cash of administration department.
  • Looking after safety & security concerns along with the maintenance of fire extinguishers.
  • Preparing reports and analyzing data as/ when required to do so.
  • Looking after fixed assets and its verification as directed by HoD admin.
  • Maintaining logs of genset overall, office vehicle, units utility bills & its consumption, etc.
  • Any other tasks as and when assigned by HOD Admin.

Required Skills

Qualifications and Experience:

  • Graduate (BBA or any relevant education).
  • At least 2 years of experience on similar position.
  • Ability to write clear reports and communicate effectively with different stakeholders.
  • Basic proficiency in MS Word, Excel, and simple data tracking tools.
