Job Summary

Role Summary:

The Admin Officer will manage the daily administrative operations of the organization, ensuring efficient support for all departments and adherence to organizational policies and procedures.

Role and Responsibilities:

Office Administration

  • Oversee general office operations, including maintenance of office supplies, equipment, and facilities.
  • Ensure a clean, safe, and organized work environment.
  • Manage correspondence, including emails, calls, and postal mail.

Procurement and Inventory Management

  • Coordinate procurement processes for office supplies and services in compliance with policies.
  • Maintain inventory records and ensure timely restocking.

Event Coordination

  • Organize meetings, workshops, and other events, including venue booking, catering, and logistics.
  • Prepare agendas, minutes, and follow-up actions.

Staff Support

  • Assist in onboarding new employees by providing office orientation and required resources.
  • Handle administrative queries and provide support to team members.

Compliance and Policy Implementation

  • Ensure adherence to organizational policies, procedures, and local regulations.
  • Assist in implementing and updating administrative policies as needed.

Liaison and Coordination

  • Coordinate with external vendors, service providers, and stakeholders for office needs.
  • Liaise with other departments to ensure smooth administrative operations.

Miscellaneous Duties

  • Handle travel arrangements for staff, including ticket booking and accommodation.
  • Perform any other duties assigned by the supervisor related to administrative tasks.

Required Skills

Requirements:

  • Bachelor’s degree in business administration, Management, or a related field from a reputable institution.
  • Minimum of 5 years of relevant experience in administration.

Skills and Abilities:

  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Ability to multitask and work under minimal supervision.
