Job Summary

This position is mainly responsible to facilitate, Principal, Vice Principal in Admissions, be first point of contact and facilitator for the parents, Documentations and day-to-day academic administrative matters.

Role and  Responsibilities:

  • Provide a professional, helpful, welcoming atmosphere and a positive attitude for faculty, staff, students, families, callers and visitors of the Office of the Principal/Head of Academic.
  • Maintain students’ records / individual student file and GR.
  • Deal with parents and visitors related to admissions and general queries
  • Prepare Entry Test Schedule & check on Age Limit based on predetermined criteria.
  • Administrates testing / exam paper printing process.
  • Handle admissions queries under the guidance of Principal/ concerned Head Teacher
  • Issue and receive Registration Forms, admission form, boarder admission letters and follow-on on missing documents.
  • Prepare Transfer Certificate, Provisional / Character Certificate, Sport Certificate, Studying Certificate, Hope Certificate, and Bonafide Certificate for the students
  • Be custodian of the School Academic related documents
  • Answer incoming phone calls, provide general information, resolve queries and divert to the concerned staff
  • Record and distribute all incoming mail, facilitate outgoing mails and maintain records
  • Facilitate the Academic Council Chair and the person nominated by the respective head in providing syllabus books & copies (for parents), and other resource material (for teachers), from the store room and update inventory as and when required
  • Update the bulletin board by pasting and removal of outdated materials.
  • Photocopy and distribute timetables, papers and other academic materials.
  • Facilitate in follow-up of fee matters, including issuance of fee challans, making follow-up calls, noting and sharing of parents’ concerns.
  • Support in organizing various school events as per the capabilities and skills.
  • Take follow-up of long absent students in coordination with the class teacher.
  • All student-related, fee-related, and teacher-related matters must be handled with sensitivity and confidentiality.
  • Any other tasks assign by the supervisor.

Required Skills

Skills and Qualification:

  • Minimum Bachelor’s degree in Business Administration, or a related field.
  • At least 2 years of relevant administrative experience.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic record management systems.
  • Ability to handle confidential information with integrity and professionalism.
  • Excellent customer service skills and the ability to multitask in a dynamic environment.
