Job Summary

The Manager Operations will work in close coordination with the Executive Officer (EO) or his designee to oversee the operations in the Regions. S/he will be responsible to provide leadership and cohesion in developing strategies for the smooth implementation of various programs designed by various Boards and NC.
S/he will be helping to mobilize the available human and programmatic resources, identifying and helping to realize the potential synergies between institutions, and engendering a collegiate and collaborative approach amongst all Boards. S/he will liaise with various Institutions for coordination and collaboration to create impact at the ground level. The position will report to the EO and will be based in Karachi, with frequent travels across the Country.

FUNCTIONAL RESPONSIBILITIES

  • Supervising and Supporting Regional Operation Managers (ROMs) to ensure seamless council operations at all levels.
  • Responsible for ensuring Budget compliance and efficiency in operations, as well as working on developing annual budgets in coordination with finance and Regional Managers / Councils 
  • Develop implementation plans with the Regional Operations Manager (ROM) / Councils to ensure that the objectives of the strategies developed are realized in time, with the desired quality and intended outcome and impact; track progress against this plan.
  • Working in Liaison with Program Coordinator to ensure coordination and synergies among institutions for the execution and implementation of programs, where possible.
  • Strengthen communications and proper coordination between the National, Regional and Local boards/portfolios in the development, implementation and desired outcomes of programs. Ensure consensus-building at all levels, as necessary.

  • Prepare and consolidate, monthly and periodic analytical reports on programs and other Interventions. .
  • Ensure shared services at the regional level with respect to programmes within the Institutions.
  • Conduct periodic reviews of the ongoing program deliverables and develop a strategic approach in consultation with the EO for measuring overall program impacts and to develop improved methods.
  • Capacity building of ROMs and provide mentorship in attaining their respective annual KPIs.
  • Perform any other related tasks assigned by the EO or the Office Bearers from time to time.

Required Skills

Professional Experience

  • Candidate should have developed professionally through progressively responsible management experience of at least 3 - 5 years in a complex setting in a medium / large organization, especially with a hands on experience of handling international donor financed projects.Institutional and volunteer experience would be a significant asset.
  • Proven ability to manage multiple tasks under pressure, meet stringent deadlines and work well in teams.

Skills and Attitudes

  • Goal-oriented, data-driven, with a positive ‘can-do’ attitude and strong problem solving skills.
  • Demonstrated ability to build strong, supportive, and collaborative working relationships with internal team members and the leaders and members of stakeholder organizations.
  • Proven ability to lead and motivate professional and volunteer team members from diverse backgrounds.
  • Experience in writing actionable reports that build on input from multiple stakeholders, crafting proposals and related presentations, and developing other documentation.
  • Experience in setting, attaining, and/or measuring performance indicators and outcomes.
  • Experience in working with databases and analyzing data.
  • Comfort with public speaking in front of small groups and wider audiences.
  • Proficiency in MS Access, Excel, PowerPoint, Visio and MS Project.
  • Experience in preparing programmatic budgets and key deliverables with programmatic approach.

Academic Credentials

  • A Master’s degree in Social Sciences, Economics, Administration, Management or in related discipline with minimum 3 - 5 years of relevant work experience in social, public or corporate sector.
  • Professional qualification in project management, data analysis or social science would be an asset.

Language Proficiency

  • Strong communication skills in English and Urdu (both oral and written); ability to understand regional languages will be an added advantage.

Travel and Schedule

  • Willingness to work beyond normal working hours and travel within and outside assigned district.
  • Only candidates working in Karachi for minimum of past 2 years and falling in the above criteria will be shortlisted.
