Job Summary

We are looking for a competent Executive Secretary (Female) to support high-ranking officials in our company at our office located in Gilgit.

Job Summary: 
Executive secretary must be quick professional with great time management and multi-tasking abilities. She will be the one to organize, coordinate and maintain the executive’s schedule and assist them by performing a variety of administrative tasks across departments. It is with her diligence and competency in work that focus on their managerial responsibilities without worrying for other tasks.

Responsibilities:

  • Contribution to the efficiency of the overall business.
  • To ensure all assigned administrative duties, maintaining executive’s agenda and assist in planning appointments, board meetings, conferences etc.
  • Keep coordination among all departments, attending meetings and keep minutes.
  • Receiving and screening phone calls and redirecting them when appropriate.
  • Ensure target achievement and administrative summary development on daily, monthly, and quarter basis of everyone and departments.
  • Make travel arrangements for execution of multiple tasks.
  • Handle and tackle confidentiality and security of documents.
  • Facilitate departments in terms of communication and administration.
  • Maintain electronic and paper records to ensure that information is organized and easily accessible.
  • Conduct research and prepare presentations or reports on need basis.

Required Skills
  • A Master’s degree (minimum) in Business administration, Strategic Management, Economics, social sciences, humanities or other relevant field;
  • At least 2-3 years of relevant work experience
  • Proven experience as executive secretary or similar administrative role
  • Proficient in MS Office and “back-office” software (e.g. ER)
  • In depth knowledge of office management, coordination, facilitation, and basic accounting procedures as well as technical vocabulary of relevant industry
  • Familiarity with basic research methods and reporting techniques
  • Excellent organizational, planning, team building, leadership, and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
  •  An effective and energetic team player, with the ability to work in a multidisciplinary environment;
  • Strong self-motivation and innovative skills, with capacity to work independently and meet deadlines.

  • Working knowledge of Shina, Brushaski, Balti and/or Khuwar will be an advantage. The position is for an initial probation period of 3 months but likely to be permanent on the basis of performance. Continuous best performance is critical for promotions and rewards.
