Job Summary

A Documentation Officer is responsible for preparing, organizing, maintaining, and managing company documents and records to ensure accuracy, confidentiality, and compliance with organizational procedures.

Role and Responsibilities:

  • Prepare, review, and maintain official documents, reports, and records.
  • Organize and update physical and electronic filing systems.
  • Ensure all documents are accurate, complete, and properly formatted.
  • Track document revisions and maintain version control.
  • Manage incoming and outgoing correspondence and documentation.
  • Verify documents for compliance with company policies and requirements.
  • Maintain confidentiality and security of sensitive information.
  • Assist departments with document preparation and record management.
  • Retrieve and provide documents when requested by authorized personnel.
  • Coordinate with internal teams to ensure timely submission and processing of documents.
  • Prepare periodic reports related to documentation activities.
  • Ensure proper archiving and disposal of records according to company policies.

Required Skills

Skills and Qualification:

  • Bachelor's degree in Business Administration, Management, Commerce, Information Management, or a related field.
  • Minimum 1–2 years of experience in documentation, administration, or record management (preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong knowledge of document control and filing systems.
  • Excellent organizational and record-keeping skills.
  • Strong attention to detail and accuracy.
  • Good written and verbal communication skills.
  • Ability to maintain confidentiality of sensitive information.
  • Strong time-management and multitasking abilities.
  • Ability to work independently and meet deadlines.
  • Experience with data entry and document management software is an advantage.
  • Professional attitude and strong problem-solving skills.
  • Honest, reliable, and responsible.
  • Ability to coordinate effectively with internal departments and external stakeholders.
