Job Summary

The Admin and Student Affairs Assistant is responsible for supporting the Coordinator/Head Teacher in the admissions process, acting as the first point of contact for parents, and managing all related documentation. The role also involves handling fee-related tasks, ensuring timely fee collection, maintaining accurate records, and supporting the smooth operation of day-to-day academic administrative functions.

Roles and Responsibilities:

  • Provide a welcoming environment for faculty, staff, students, families, and visitors in the Office of the Coordinator/Head Teacher.
  • Answer phone calls, resolve queries, and redirect as necessary.
  • Manage student admissions, including issuing registration forms and certificates, and maintain student records.
  • Assist with generating and distributing fee vouchers, posting fee submissions, and following up on outstanding payments.
  • Prepare duty rosters for support and security staff, monitor attendance, and submit monthly reports to HR.
  • Coordinate requisitions for office supplies and ensure inventory is up to date.
  • Supervise support staff to maintain cleanliness in classrooms, corridors, and outdoor areas.
  • Ensure office equipment is functioning properly and report maintenance needs.
  • Perform general administrative duties, including filing, photocopying, and maintaining academic materials.
  • Support the HR department with attendance and other administrative tasks as required.

Required Skills

Skills and Qualification:

  • Bachelor’s degree in any discipline with 2-3 years of relevant experience.
  • Previous experience in student affairs and administration is preferred
  • Proven ability to maintain accuracy and attention to detail in all tasks.
  • Proficient in MS Office (Excel, Word, PowerPoint) and Outlook
  • Ability to communicate effectively with administrators, teachers, employees, and the parents.
  • Skilled in establishing and maintaining effective working relationships with colleagues and other stakeholders.
